Event cancellation insurance steps in if the event has to be cancelled unexpectedly. Reasons for this can include severe weather or the illness of a key performer, which occurs in ten per cent of major events. For expensive equipment such as lighting and sound systems, equipment insurance makes sense. This often covers damage up to a replacement value of 50,000 euros. Comprehensive liability cover is therefore essential.

  • Event organiser's liability insurance: Protection against third-party personal injury and property damage.

  • Event cancellation insurance: Covers financial losses in the event of cancellation or postponement.

Analyse the specific risks of your event, such as the number of guests expected – perhaps 500 or 5,000. A detailed risk analysis in advance prevents underinsurance. A affordable public liability insurance can provide basic cover, but is often not enough. A precise analysis helps to optimise insurance cover.

Optimise costs: understand premiums and unlock savings potential

The cost of event insurance varies widely. For a small event with 100 guests, costs can start at around €80. A concert with 1,000 attendees can be insured from €140. Factors such as the type of event, duration, number of visitors and the selected sum insured influence the price. An annual policy can be up to 20 per cent cheaper for organisers running several events a year. Compare quotes carefully; there are often differences of more than 30 per cent for similar cover. A event cancellation insurance is an important, but separate, cost factor. Early planning and accurate risk information help reduce the premium.

Deepen expert insight: understand legal frameworks and current rulings

In Germany, there is no general legal obligation to take out event insurance, except for certain high-risk events such as motorsport events. However, organisers are liable for damage caused under Section 823 of the German Civil Code (BGB). Courts often interpret duties of care strictly. A ruling by the Higher Regional Court of Hamm (case no. 9 U 124/17) confirmed the liability of an organiser for inadequate storm protection of a tent. Recent rulings repeatedly emphasise the need for a careful risk analysis. A commercial legal expenses insurance can be helpful in disputes. Knowledge of these basics is essential for any organiser with more than 50 guests.

  1. Duty of care: Organisers must take all reasonable precautions to prevent damage.

  2. Liability for vicarious agents: They are also liable for errors made by commissioned service providers (§ 278 BGB).

  3. Documentation: Accurate documentation of all safety measures is worth its weight in gold in the event of a claim.

  4. Special permits: Many events require official permits, which often call for proof of insurance.

Secondly, define the required scope of insurance and the sums insured, often at least three million euros. Thirdly, obtain several quotes and compare not only the price, but also the benefits – differences of up to 25 per cent are not uncommon. Fourthly, take out the contract in good time, ideally four weeks before the start of the event. A business interruption insurance can also be a sensible addition. This structured approach gives you optimal protection.
